ArtLiving.ai Privacy Policy — DEVELOPMENT DRAFT
Draft for development use only. This is not reviewed legal text. It follows the structure that comparable art, design and AI-imaging services commonly publish. It adopts the recommended defaults from `PRIVACY_RETENTION_DECISIONS.md`. Replace all bracketed `[…]` items, and have counsel review it before public launch or the Renavia pilot.

1. Who we are
ArtLiving.ai ("ArtLiving", "we", "us") provides an online studio for visualizing artwork in real rooms, with AI-assisted recommendations and tools for artists, galleries, designers and their clients. The service is operated by [legal entity name, address]. Contact: [privacy@artliving.ai].
Where you reach ArtLiving from a partner, such as an art marketplace, that partner is a separate company with its own privacy policy. Purchases you make on a partner's site are governed by that partner's policy.
2. Information we collect
Information you give us
- Account information: email address, name, password or sign-in link, and workspace or company name.
- Room photos and images you upload, including any artwork images you upload for private visualization.
- Design content: placements, sizes, frames, saved versions, notes, comments and approvals.
- Messages to the Art Advisor, inquiries, quote requests, and contact details you include in them.
- Payment information for subscriptions. This is processed by our payment provider (Stripe). We do not store full card numbers.
Information collected automatically
- Device and log data: IP address, browser type, pages viewed, timestamps and error reports.
- Cookies and similar technologies for sign-in, security, preferences and basic analytics (see §8).
- If you arrive from a partner site: the partner, the artwork you selected, and a referral identifier, used to attribute inquiries or purchases to that partner.
Information we do not keep
- Photo metadata. We remove location (GPS), camera and other embedded metadata from uploaded photos, including from the stored original. We keep the image itself unchanged.
3. How we use information
- To provide the Studio: show your room, place artwork, save and share designs, and keep version history.
- To provide AI features you choose to use: room analysis, artwork recommendations and the Art Advisor (see §4).
- To send inquiries or quote requests to the seller of the artwork you are interested in, when you ask us to.
- To operate workspaces: projects, team members, client sharing and approvals.
- To secure the service: prevent abuse, fraud and spam, and enforce usage limits.
- To improve the service, using aggregated or de-identified usage information.
- To send service messages, such as sign-in links, share notifications and inquiry confirmations. We send marketing email only with your consent, and you can unsubscribe at any time.
We do not sell your personal information. We do not use your room photos to train AI models.
4. AI features and room photos
- Manual features need no AI. Upload preview, placement, sizing, framing and "Natural Polish" adjustments do not send your photo to an AI provider.
- AI features are opt-in. Before your photo is first analysed by AI, we ask for your permission. When you use an AI feature, we send a reduced-size copy of your photo, with metadata removed, plus your request to our AI service providers ([Anthropic, OpenAI]). They process it to return a result to us. Under our agreements with them, they do not use it to train their models. They may keep it for a limited period for abuse monitoring, as described in their terms. [Verify and update per actual account configuration.]
- AI Restyle (optional) generates a new styled version of your room. It requires separate permission, and results are labelled as AI-styled concepts. Your original photo is always kept.
- Artwork is never altered by AI. Recommendations only reference real artworks in our catalog, and AI never redraws or alters artwork images.
- You can withdraw AI permission at any time in Account → Privacy. We then stop new AI processing of your photos immediately.
- You can withdraw permission to store photos in Account → Privacy. We then delete every stored room photo and everything made from it right away. Your saved designs stay, without their room photo.
5. Sharing
We share information only:
- With sellers and partners, at your request. For example, when you send an inquiry or quote request, the seller (such as the gallery, artist or partner marketplace) receives your contact details, message and a snapshot of your design.
- With your workspace. If you share a photo or design with a design professional's workspace, its team members can see it until you revoke access. If a design professional uploads your room photo, that professional's workspace is responsible for having your permission.
- With people you send a share link to. Anyone with the link can view the shared design until the link expires or you revoke it.
- With service providers who process data for us under contract: hosting and database (Vercel, Supabase), AI providers (§4), email (Resend), payments (Stripe), error monitoring and bot protection.
- For legal reasons: to comply with law, protect rights and safety, or as part of a merger or acquisition, subject to this policy.
6. Retention
| Information | How long we keep it |
|---|---|
| Designs and photos from visitors who never create an account | 30 days after last activity |
| Room photos and designs in a personal account | Until you delete them; inactive accounts are purged after 24 months, with notice |
| Photos and designs in a professional workspace project | For the life of the project, as managed by the workspace |
| Art Advisor conversations | 12 months |
| Inquiries | 36 months |
| Security and audit logs | 24 months |
| Billing records | As required by tax and accounting law |
Deleted information may remain in encrypted backups for up to 30 days, until those backups expire.
7. Your choices and rights
- Delete: you can delete any room photo or design at any time. Deleting a photo also deletes everything we made from it: resized copies, AI-restyled versions, AI room descriptions, and the design images we stored for inquiries and saved versions. You can delete your account in Account → Privacy, and we complete deletion within 7 days.
- Access, correct or export: you can ask us for a copy of your information, or ask us to correct it.
- Withdraw consent: for AI processing or photo storage (§4), or for marketing email.
- Depending on where you live (for example the EEA/UK under GDPR, California under CCPA/CPRA, or Canada under PIPEDA), you may have additional rights. These include objecting to or restricting processing, data portability, and lodging a complaint with your data protection authority. Contact [privacy@artliving.ai]. We will not discriminate against you for exercising your rights.
- Information already sent to a seller at your request is held by that seller under its own policy. We will forward deletion requests to them.
8. Cookies
We use essential cookies for sign-in, security and saving your design session. We also use privacy-friendly analytics [provider] to understand aggregate usage. We do not use advertising cookies. [Add a cookie banner if non-essential cookies are added.]
9. Security
We use encryption in transit, access controls, private storage for photos with short-lived access links, and separation between customer workspaces. No method of transmission or storage is completely secure.
10. International transfers
We and our providers may process information in [Canada, the United States] and other countries. Where required, we use appropriate safeguards such as standard contractual clauses.
11. Children
ArtLiving is not directed to children under 16. We do not knowingly collect their personal information.
12. Changes
If we make material changes to this policy, we will post the update here with a new effective date. Where required, we will notify you.
